Position Summary

Durandisse Transport is seeking a highly organized, adaptable, and discreet Remote Executive Assistant & Client Relations Coordinator. This hybrid virtual role consolidates the responsibilities of a secretary, receptionist, and personal assistant to provide high-level administrative support to executive leadership while also serving as a professional point of contact for clients, partners, and internal stakeholders.
Operating entirely remotely, the successful candidate will ensure the smooth execution of daily business functions while protecting the time, focus, and priorities of senior management.
Core Responsibilities

Administrative & Executive Support (Secretary Function)
Manage and optimize executive calendars, appointments, and task timelines.
Prepare reports, presentations, documents, and internal communications.
Maintain digital document organization and task-tracking systems (Google Drive, Notion, Asana, etc.).
Screen and organize emails, flag priorities, and draft follow-up responses.
Coordinate interdepartmental communications and document exchanges.
Virtual Front Desk & Client Communication (Receptionist Function)
Serve as the first line of contact for inbound inquiries via phone, video, and email.
Manage and schedule virtual meetings with vendors, drivers, and external parties.
Represent the executive team in a professional manner across all digital channels.
Maintain a courteous and polished presence when interacting with clients and partners.
Personalized Remote Support (Personal Assistant Function)
Coordinate travel, lodging, virtual event participation, and personal appointments.
Assist with personal online errands and scheduling as needed.
Provide high-discretion support for personal and professional confidential matters.
Remain flexible and responsive to urgent or sensitive tasks that may arise outside standard hours.
Qualifications
===========
Minimum of 3 years experience as an executive assistant, receptionist, or administrative support role (remote experience strongly preferred)
Exceptional organizational, written, and verbal communication skills
Proficiency with modern collaboration tools: Google Workspace, Zoom, Slack, Trello/Asana/Notion
Demonstrated ability to handle confidential information with integrity
Professional, reliable, and proactive with a solution-oriented mindset
Ability to adapt to evolving executive needs and manage priorities independently
Requirements

U.S.-based with reliable high-speed internet
Private, distraction-free home office setup
Availability for communication and response during business hours (EST preferred)
Occasional availability for urgent needs outside standard hours.
